Backup iPhone Messages Before Switching Phones

How to backup iPhone messages before switching to a new phone. Save your iMessage, SMS, and messaging app conversations permanently.

· 5 min read

Before switching phones, upgrading, or resetting your iPhone, make sure your important messages are truly safe. While iCloud and iTunes backups usually work, they’re not foolproof — and they don’t help if you’re switching to Android. Creating independent message exports ensures you never lose important conversations.

Why Backup Beyond iCloud?

Apple’s backup systems usually preserve messages, but there are risks:

  • Backup corruption — iCloud backups occasionally fail to restore properly
  • Storage limits — Running out of iCloud storage can prevent message backup
  • Account issues — Losing Apple ID access means losing backups
  • Switching ecosystems — Android can’t read iCloud backups
  • Accidental deletion — iCloud syncs deletions across devices
  • Long-term access — Will you still have this Apple ID in 10 years?

A separate export gives you permanent, independent control over your message history.

What to Backup Before Switching

Priority Messages

Not every conversation needs archiving. Focus on:

  • Sentimental messages — Conversations with loved ones, meaningful exchanges
  • Important decisions — Business agreements, commitments, confirmations
  • Legal relevance — Messages that might matter for disputes or court proceedings
  • Financial records — Payment confirmations, transaction discussions
  • Medical communications — Doctor conversations, appointment confirmations
  • Work messages — Important professional exchanges on personal device

Apps to Check

Don’t forget messages outside iMessage:

  • iMessage/SMS — Your main Messages app
  • WhatsApp — Has its own backup system, but export separately for safety
  • Signal — Doesn’t cloud backup — export is essential
  • Telegram — Cloud-based, but export for independence
  • Instagram DMs — Often forgotten until it’s too late
  • Facebook Messenger — Years of history for most people
  • Viber — Common for international communication

  2. Navigate to a conversation you want to preserve
  3. Scroll to the beginning
  4. Press Side Button + Volume Up to screenshot

Step 3: Choose Export Format

CSVSearchability, data analysis
ExcelSorting, filtering, spreadsheet work
Plain TextUniversal compatibility, simple storage

For personal archiving, PDF is usually best — it’s readable decades from now.

Step 4: Store Safely

Save your exports in multiple locations:

  • Cloud storage — Google Drive, Dropbox, OneDrive
  • Computer — Local folder with backup
  • External drive — For truly important archives
  • Email to yourself — Creates dated copy

Backup Checklist Before Switching Phones

Week Before

  • Identify important conversations across all messaging apps
  • Start exporting sentimental and important conversations
  • Verify iCloud backup is current and complete
  • Check storage space in iCloud

Day Before

  • Final export of any recent important conversations
  • Verify all exports are saved to cloud and/or computer
  • Take one more iCloud backup
  • Note any apps with their own backup requirements (WhatsApp, etc.)

After Switching

  • Verify messages restored on new phone
  • Check that exports are accessible from new device
  • Keep exports even if restore worked — they’re your permanent backup

Special Situations

Switching iPhone to iPhone

Your best scenario. Messages should transfer via iCloud or Quick Start. But still export important conversations because:

  • Transfer can fail
  • iCloud sync can go wrong
  • You have a permanent backup independent of Apple

Switching iPhone to Android

iCloud won’t help you. Your options:

  1. Export with Textscape before switching (recommended)
  2. Messages stay on your old iPhone (keep it charged and accessible)
  3. Third-party transfer tools (often incomplete)

Textscape exports work on any device — PDF, CSV, and Excel open anywhere.

Factory Reset Without New Phone

Maybe you’re selling your phone or troubleshooting. Before reset:

  1. Export all important conversations
  2. Verify exports are saved externally (not just on the phone)
  3. Triple-check sentimental conversations

Once you reset, messages on the device are gone permanently.

Upgrading with Trade-In

Trade-in programs often give you limited time with both phones:

  1. Set up new phone first
  2. Verify messages transferred
  3. Export anything that didn’t transfer
  4. Export important conversations as backup anyway
  5. Wipe old phone for trade-in

Common Backup Mistakes

  • Assuming iCloud worked — Verify your backup contains messages before wiping
  • Forgetting third-party apps — Signal especially has no cloud backup
  • Storing exports only on the old phone — Save to cloud or computer first
  • Waiting until the last minute — Start early in case of issues
  • Only backing up one format — PDF plus CSV covers more use cases

Long-Term Archive Strategy

For messages you want to keep for years:

  1. Export to PDF — Readable format that will work decades from now
  2. Also export to CSV — Plain text ensures maximum compatibility
  3. Store in multiple locations — Cloud, local drive, external backup
  4. Organize by date or contact — Makes finding conversations easier later
  5. Refresh backups periodically — Technology changes; verify accessibility
